Early Arrival, Late Stay, Break Housing Policies

 

Fall, Thanksgiving, and Spring Breaks

  • Meal plans continue at no additional costs.
  • Students may stay in their assigned housing without college approval at no additional cost.
  • Students will complete a Break form on Residence to notify the college of stay and travel details. 

Early Arrival and Late Stay

Some students may need or wish to return to the residence halls early, or stay in their room late, due to a variety of circumstances.  Depending on the circumstance, the process will vary. The Early Arrival and Late Stay policy only applies to the following:

  • Fall early arrival: Beginning August 6 until the Residence Halls open for returning students..
  • Fall late stay: One night after December closing.
  • Winter Stay@CCA: Winter Break housing is located at the Claremont Collegiate Apartments.
  • Spring early arrival: When College reopens after Winter Break until the Residence Halls open for returning students.
  • Spring late stay: Two nights after May closing.

Please review the information below regarding the approval for early arrivals or late stays in the residence halls. Students will need to fall into one of the four categories below to be approved. Students requesting an early arrival or late stay should contact the Residence Life Office at [email protected]

Qualifying Considerations

  • Hosted Groups with Coach/Supervisor/Advisor (No Charge)

    Hosted groups will receive free housing during early arrival or late stays. Often in coordination with a Pitzer coach/supervisor/advisor communicating with the Residence Life Office.

    • NCAA student athletes (Communicate with Coach/PP Athletics)
    • College student leaders (Communicate with Supervisor/Advisor)
      • RAs, OA leaders, Academic Guides, Staff supervised 7C mentor groups, Senate, Pitzer Advocates, First Gen Intern/Mentors, Admission Fellows & Tour Guides, Re-Room, etc.
    • COVID-19 related Quarantine procedures (international travel, vaccination, etc.) (Communicate with Todd Sasaki)
    • Students experiencing consistent homelessness, housing insecurity, family issues, former foster youth, etc. (Communicate with Stephanie Hannant)
      • Please seek support from OSA in advance of all breaks to consider their off-campus housing options and prepare for the break. These students may also opt to live off-campus or at the Claremont Collegiate Apartments (CCA) in order to have access to their housing during break periods.
    •  Stipulations:
      • The coach/supervisor/advisor must approve and organize their group’s early arrival date
      • Approved time period – Students may only arrive one night early from the approved start date of their on-campus commitment/obligation
      • Approved group must provide a meal plan for their students OR have a conversation with their students about how they will access food during their time on-campus.
      • Groups need to be affiliated with Pitzer AND have a college related reason to be on campus early.
  • International Travel Restrictions and COVID Travel Quarantines (no charge)

    Students arriving from international destination:  

    • Fully vaccinated students arriving to campus via international travel will be recommended (not required) to limit their interactions and get a negative COVID test prior to other full participation in campus activities.  
    • As such, any students arriving to campus from an international destination will be allowed a 3 day early arrival for free in order to facilitate this limited interaction phase and testing.  

    International Students and International Exchange 

    • We encourage students arriving from international locations to be in close contact with Pitzer International Programs to advise their campus arrival date, which may be influenced by
      • Country of departure/arrival
      • vaccination status and campus vaccination process
      • orientation programs
      • travel quarantines   
  • Students with disability related housing accommodations (No Charge)

    Students with disability related housing accommodations who request to arrive early, or stay late, will be approved via Pitzer Academic Support Services (PASS) and will continue to receive free housing.

    • Approved time period:
      • 2 days early or 1 day late
    • Students will acknowledge their understanding of lack of a meal plan during the early arrival/late stay period.
  • Individual Students Doing Individually Beneficial Work (Nightly Charge)

    Approved Individual Students Doing Individually Beneficial Work who request, or whose supervisors’ request, to arrive early, or stay late, will apply for approval via our online form. If approved, these students will agree to be charged a per night fee of $28 to their student account.

    • Examples:
      • Watson Bootcamp, Mellon Mays Undergraduate Fellowship (MMUF), etc.
      • Keck Science group projects
      • Student wants to earn more money by working in an office
      • Helping faculty with research
      • Club sports (rugby, ultimate, etc.)
      • Any activity that benefits the individual student more than benefiting the College
    • Stipulations:
      • Approved time period:
        • Students may only arrive one night early from the start date of their on-campus commitment/obligation
      • Approved group must provide a meal plan for their students OR have a conversation with their students about how they will access food during their time on-campus.
      • The coach/supervisor must approve and organize their early arrival
      • Groups need to be affiliated with Pitzer AND have a college related reason to be on campus early.
  • Students experiencing extenuating circumstances (Nightly Charge)

    Students experiencing extenuating circumstances who are requesting early arrival or late stay will apply for approval via our online form. If approved, these students will agree to be charged a per night fee of $28 to their student account.

    • Examples:
      • Flight issues/cost
      • Weather
      • Family work schedules
      • Transitioning from summer housing to fall housing
      • Internship
      • Family/parents involved in Pitzer’s Parent Leadership Council (PLC) and PLC responsibilities don’t align with move-in date
    • Stipulations:
      • Approved time period: 2 days early or 1 day late
      • Students will acknowledge their understanding of lack of a meal plan during the early arrival/late stay period.

Additional Information

  • Winter Stay@CCA (No Charge)
    • Students who know they need winter break housing are highly encouraged to consider choosing to live at CCA via the housing selection process.
    • CCA residents who reside at CCA during both fall and spring semester must still apply but will be approved to stay in their CCA space throughout Winter Break.
      • CCA residents who are either fall only or spring only, and anticipate needing to stay for the winter break, should apply for winter break housing via our application process for review.
    • Main campus residents: Temporary winter break only housing at CCA is only available for international students with travel restrictions or students with housing insecurity. These students must apply for winter break housing for review and approval is provided on a case-by-case basis, Residence Life will then assign a temporary CCA space.
      • Move to temporary CCA Space – Week of December 13, 2022
      • Move back to Main Campus Space – Week of January 3, 2022
    • Food: As a reminder, food services are closed during the winter break. CCA apartments have kitchens.
      • Apartment Kitchens – Full fridge and freezer, dishwasher, oven, 4 burner stove top 
      • Studio Kitchens – 2 burner stove top, minifidge, microwave 
      • Applications for additional funding will be provided.
  • Application Process and Forms
      • Approved Groups:
        • ONLY Coach/supervisor/staff member will complete the online application for their group.
        • Residence Life will apply the Extended Stay Application to each student’s online Residence home page for them to complete and submit.
        • ALL students (athletes, student leaders, etc.) will need to actively apply for late stay and/or early arrival.
        • Wait for approval confirmation from Residence Life.
      • Students with extenuating circumstances, disability accommodations, International Travel or who are not a part of an approved group, will:
        • Contact [email protected] to receive this application.
        • Complete the application themselves and provide documentation.
        • Wait for approval from Residence Life.
  • Expectations and Policies for Early Arrival/Late Stay Students
    • COVID Safety:
    • There will be an early arrival/late stay approved sign posted on your door. Please do not remove the sign.
    • Please keep residence hall windows and doors locked at all times. Do not prop doors.
    • You may socialize with your fellow early arrival/late stay students but parties are not allowed.
    • No guests are allowed. This includes roommate(s) or suitemate(s) staying with you. If you are found with a guest or a student who is not on the early arrival list they will be asked to leave campus and you both may face judicial action.
    • Do not move furniture out of your room, including bed frames and mattresses or take furniture from other areas.
    • Please observe quiet hours and keep noise down.
    • Keep all public areas in the residence halls and campus clean.
    • Do not leave valuables lying around your room. There will be various people coming in and out of the halls for painting, cleaning and addressing maintenance concerns in the rooms. Pitzer assumes no responsibility for loss or damage to property in residence hall rooms, bathrooms, and public areas.
    • Please know that there is a possibility that unscheduled outages may need to take place in order to accommodate construction. In addition to construction on campus, our Facilities staff will also be doing residence hall maintenance.
    • There also may be times when the water and other utilities may need to be shut off intermittently (an hour to a few hours). While they will do their best to schedule these potential shut offs in advance, please understand that may not always be possible.
    • There will be no regular meal plans during this time (unless otherwise organized by your coach/staff sponsor).
    • Facilities will be entering rooms and bathrooms during Winter Break.
      • Please be advised that our Facilities staff will be entering all rooms and bathrooms during the early arrival period. There will also be maintenance in ALL bathrooms in the residence halls. Please be sure to remove ALL of your belongings from the bathroom on a daily basis, as the cleaning schedule is still being determined.

    Your early arrival/late stay status is a privilege that should not be taken for granted and comes with responsibility. If you abuse this privilege by violating any of the early arrival guidelines, or Code of Student Conduct outlined in the Pitzer College Student Handbook, you will be subject to judicial action that may include immediate revocation of your early arrival/late stay status.

    Please remember to watch out for your fellow community members and report any suspicious persons or activity to Campus Safety immediately. If there is an emergency or you are locked out, please call Campus Safety at x72000 or (909) 607-2000.
