Getting Paid
All students must record hours worked in Workday so they may be paid on time. For auditing purposes, it is important that you complete your timecard accurately and in a timely manner. Reminder, that you cannot begin working until you receive an email from Pitzer Human Resources indicating that your paperwork has been processed.

Getting Paid
Timecards
Students are required to enter hours worked after every shift and approve their timecard at the end of each pay period (every other Friday by 5pm).
- Pitzer’s workweek is Saturday through Friday, and the pay period is two weeks in length.
- Actual hours worked must be recorded, not scheduled hours.
- Advance entry of hours is prohibited.
- Hours entered late will have to be entered by the supervisor as a historical correction and will result in delayed pay.
- After you approve your timecard, it is sent to your supervisor for review and approval.
Paychecks & Direct Deposit
Your paycheck/direct deposit is issued every other Friday according to the bi-weekly schedule, except when issued early due to a college observed holiday.
Paychecks: Paychecks are delivered to your home address on file. To avoid delays in getting paid, we highly recommend enrolling in direct deposit.
Lost Paychecks: There is a five-business-day waiting period during which a stop payment is placed on the lost check before reissuance.
Direct Deposit: You can set up direct deposit via Workday, refer to the Direct Deposit Job Aid for instructions.
Payroll Schedule
Your paycheck/direct deposit is issued every other Friday according to the bi-weekly schedule, except when issued early due to a college observed holiday.
Earnings & Taxes
Student employment earnings (regardless of work-study status) are paid directly to you in the form of a bi-weekly paycheck (either by paper check or by direct deposit).
Taxes/Withholding
All student employment earnings are subject to federal and state taxes. Two of the documents you need to complete are the federal (W-4) and state (DE-4) tax withholding forms. Please consult with your parent/guardian or tax accountant to identify what withholding amount(s) you should report for those forms. For international students, this may vary; be sure to identify yourself as a Non-Resident Alien when completing your I-9 Form.
W-2 Forms
Annual tax forms are issued no later than January 31 of the following year for work done in the current year. Employees will receive both electronic and paper W-2 forms. You have the option to opt-out of paper copies by updating your preferences in Workday.
Benefits
Student employees are eligible to receive CA Sick time. One hour of CA sick time is earned for every 30 hours worked. Usage of CA Sick becomes available 90 days from your employment start date.
Overtime
If you are required by your supervisor to work extended hours, that may result in overtime. The following is considered overtime:
- Time worked over 8 hours in one day, OR
- Time worked over 40 hours in a work week, OR
- Any hours worked on the 7th consecutive day in a work week
Double Time
Double time is paid for time worked over 12 hours in one day OR over 8 hours on the 7th consecutive day within a work week.
Meal Breaks
If you work more than five hours in one day, you are required to take a meal break of at least 30 minutes. You must clock out at the beginning of your meal break and clock in upon your return. Be sure to start your break before the 5th hour BEGINS to avoid a meal penalty. Under California law, when an employee fails to take their meal break prior to the fifth hour, a premium (penalty) is owed to the employee. The penalty is one hour of extra pay for each work day that this occurs.
Rest Breaks
You are also entitled to a 10-minute rest break for every two consecutive hours that you work. Rest breaks are paid time and should not be recorded on your timecard.
