Student Gmail Accounts
Your Pitzer-based Gmail account is a life-long email account as long as Google offers Gmail. Your Gmail account currently has 7GB's of storage.
Getting Started
When you first log in to your Pitzer Google Apps account you will be taken to a setup screen. This is a one-time only page where you will setup your alternate password, default language, and accept the terms of service. The alternate password serves as a part of the authentication piece when using personal email clients such as Outlook, Entourage, MacMail, etc.
Once you have logged into the Google Apps web client, you will have access to the following services: email, calendar, web-based documents and spreadsheets. You can even chat with other students as well as people in your Contacts list. Take a look at this sample main page.
Email Labeling
Google Apps groups email messages in a unique way by using labels. Labels do all the work of folders and give you an extra bonus: you can add more than one to a conversation. Once you've created a label, you can view all the messages with that label by searching, or by clicking the label name along the left side of any Gmail page.
- To create a label :
- 1. Select the message(s) you'd like to label by checking the box(es) next to the sender's name.
- 2. Select New label from the More Actions... drop-down menu.
- 3. Enter the name of the new label in the text box, and click OK .
- To edit a label:
- 1. Sign in to Gmail.
- 2. Click Edit labels at the bottom of the Labels box.

- 3. Click Rename next to the label you want to edit.
- 4. Enter the new label name, and click OK.
- All the messages categorized under your old label name will now be categorized under your new label.
- To delete a label:
- 1. Sign in to Gmail.
- 2. Click Edit labels at the bottom of the Labels box.
- 3. Click Remove label next to the label you want to delete.
- 4. Confirm that you'd like to remove the label by clicking OK.
- Removing a label doesn't delete the messages previously categorized with that label.
After labeling a message or conversation, you can remove it from your inbox by archiving it. Then, you can view archived messages by selecting All Mail or by clicking the label name along the left side of any Gmail page.
Importing Contacts into Google Apps
Outlook Web Access doesn't have the functionality to export your address book, so you'll have to create a custom CSV file if you use this service. For instructions on how to create a custom CSV visit Google apps help center. For instructions on exporting contacts from other email clients and creating CSV files visit the Google apps exporting contacts help page. Once this CSV file has been created you can import your contacts into Gmail.
- To import contacts to Gmail:
- 1. Sign in to Gmail.
- 2. Click Contacts (located below your list of views) on any Gmail page.
- 3. Click Import in the top portion of the Contact Manager.
- 4. Click the Browse... button and locate the CSV file you'd like to upload.
- 5.Select the file and click the Import button.
- Once you've successfully uploaded the document, Gmail will display the number of contacts imported.

Using Alternative Email Clients
If you prefer to use your own personal email client software such as Outlook, Entourage, or IPhone, you will need to configure the settings. On your initial log in to Google Apps you created a password. This password is used specifically to authenticate your Google mail with your email client software. Follow the instructions below for POP and IMAP setups or visit the Google apps help center for specific email client instructions.
What's the difference between IMAP and POP?
Unlike POP, IMAP offers two-way communication between your web Gmail and your email client(s). This means when you log in to Gmail using a web browser, actions you perform on email clients and mobile devices (ex: putting mail in a 'work' folder) will instantly and automatically appear in Gmail (ex: it will already have a 'work' label on that email).
In addition, IMAP provides a better method to access your mail from multiple devices. If you check your email at work, on your mobile phone, and again at home, IMAP ensures that new mail is accessible from any device at any given time.
POP
POP, or Post Office Protocol, lets you download messages from Gmail's servers onto your computer so you can access your mail with a program like Microsoft Outlook Express or Netscape Mail, even when you aren't connected to the Internet.
- Setting up POP:
- 1. Enable POP in Gmail.
- 2. Configure your client to match the settings below:
| Incoming Mail (POP3) Server - requires SSL: | pop.gmail.com Use SSL : Yes Port : 995 |
| Outgoing Mail (SMTP) Server - requires TLS: | smtp.gmail.com (use authentication) Use Authentication : Yes Use STARTTLS : Yes (some clients call this SSL) Port : 465 or 587 |
| Account Name: | Enter your full Google Apps email address - myusername@students.pitzer.edu (replace "myusername" with your Pitzer network user name) |
| Email Address: | your email address (first_lastgradyear@pitzer.edu) |
| Password: | your Gmail password (Use your alternative access password, NOT your Pitzer network password) |
- 3. Unless you're using recent mode to download mail to multiple clients, make sure you've opted not to leave messages on the server. Your Gmail settings determine whether or not messages stay on the server, so this setting in your client won't affect how Gmail handles your mail.
- Please note that if your client does not support SMTP authentication, you won't be able to send mail through your client using your Gmail address.
- Also, if you're having trouble sending mail but you've confirmed that encyrption is active for SMTP in your mail client, try to configure your SMTP server on a different port: 465 or 587.
IMAP
IMAP, or Internet Message Access Protocol, lets you download messages from Gmail's servers onto your computer so you can access your mail with a program like Microsoft Outlook Express or Apple Mail even when you aren't connected to the Internet.
IMAP creates a constant connection between mail clients (desktop and/or mobile) and Gmail.
- Setting up IMAP:
- 1. Enable IMAP in Gmail
- 2. Configure your client to match the settings below:
| Incoming Mail (POP3) Server - requires SSL: | imap.gmail.com Use SSL : Yes Port : 993 |
| Outgoing Mail (SMTP) Server - requires TLS: | smtp.gmail.com (use authentication) Use Authentication : Yes Use STARTTLS : Yes (some clients call this SSL) Port : 465 or 587 |
| Account Name: | Enter your full Google Apps email address - myusername@students.pitzer.edu (replace "myusername" with your Pitzer network user name) |
| Email Address: | your email address (first_lastgradyear@pitzer.edu) |
| Password: | your Gmail password (Use your alternative access password, NOT your Pitzer network password) |
- 3. For instructions on specific mail clients click here. Please note that if your client does not support SMTP authentication, you won't be able to send mail through your client using your Gmail address.
- Also, if you're having trouble sending mail but you've confirmed that encyrption is active for SMTP in your mail client, try to configure your SMTP server on a different port: 465 or 587.
Changing General Settings
There are a lot of customizable features in your Google Apps page. By clicking the settings link in the upper right corner of your screen you can set labels, change your picture, set up filters, and much more. Visit the Google help center for instructions to these and other customizable features.
Changing Your Alternate Password
Accessing your email via alternative access methods (POP, IMAP, mobile phone devices) requires the use of a separate password, an alternate password. On your initial log in to Google Apps you created it. This password is used specifically to authenticate your google mail with your email client software. Contact Resnet if you need to change your password.
