Ultipro (Payroll System) and EmpCenter (Time & Attendance System)

I can't log in to Ultipro. What do I do?
Please contact Maricela Rios in Human Resources at extension 79436 for assistance with your Ultipro log-in.

By when do I need to approve my employees' timesheets?
Approvals are due no later than 9:00 am the Monday after the end of the hourly pay period. The hourly payroll schedule is available on Sakai. Please keep in mind that approvals are due earlier for pay periods that contain observed holidays. If you have any questions, please contact Hortensia Lopez in Human Resources at extension 74597.

What if I will be on vacation or out of town when payroll is due?
Please identify another staff supervisor in your department to be your designee for EmpCenter timesheets approval in your absence and set up a delegation to that individual within the EmpCenter system. If you need assistance setting up the delegation, please contact Hortensia at extension 75497.

Payroll

How do I request to hire a temporary, agency temporary or student employee?
We have separate forms for hiring each of these types of employees. Please complete the form, sign it and forward it to your area Vice President for approval and signature. You can find the hire forms on Pitzer's intranet, Sakai by clicking on the corresponding link below:

  •    Temporary Employee Hire Form: for an individual who is not a Pitzer student or a regular Pitzer employee. Students from any of the other Claremont Colleges are considered temporary employees, not student employees.
  •    Agency Temporary Employee Hire Form: to request an individual from a local employment agency.
  •    Student Employee Hire Form: for Pitzer students only. Students from any of the other Claremont Colleges are considered temporary employees, not student employees.

The student/temporary employee's name isn't on the payroll pay sheet. What do I do?
New hires take a while to start showing up on the printed pay sheets from the Payroll Office – usually one pay period. If you have timesheets to submit for new hires that are not showing up on the pay sheet, you will need to complete a Special Payment Authorization (SPA) form.

How do I complete a Special Payment Authorization (SPA) form?
You can access the SPA form on Sakai under the documents section for Human Resources, or by contacting Hortensia in Human Resources at extension 74597.
